Each software system is purchased with a 5 concurrent user license. An unlimited number of users can be nominated to use the software on a school’s network, but only 5 can work concurrently. Additional concurrent users can be configured. There is no limit on the number of concurrent users that each software package can handle.
Software Purchase Costs
After purchase, all software updates and hot line support is free in the first year of ownership. From year two onwards the school must take out an annual software update agreement with ProGen.

Training Costs
Upon purchasing or renting any software item, the school must take the associated training modules. The training is normally done at your school. Each software package consists of a specific number of training sessions. The quoted cost is to train ‘the school’. The school can elect to send any number of staff to a training session at no extra cost. Each session is given once only within the stated training cost price. Additional sessions can be given to staff unable to attend a session, but these will be billable at ProGen's standard on-site consultancy rate of R300 / hour.
The training cost includes the cost of the ProGen consultant travelling to the school. This applies for all schools based in South Africa, irrespective of their distance from the ProGen offices, but for all schools that fall outside a 100 Km radius of the ProGen offices, a levy of R500 per day of training will be raised against the school in order to cover meals and hotel costs for the trainer.
Annual On-Going Costs
Each school purchasing any of the ProGen software packages is required to enter into a Software Upgrade Agreement with ProGen from the start of the 2nd year of usage. The purchase cost includes all updates within the 1st year of usage.
The agreement entitles the school to every enhancement made to the software. ProGen guarantees that the software will at all times be compliant with any Education Department requirements.
The Annual Software Upgrade Agreement cost depends upon the software package. A standard 10% increase in costs will be applicable on the 1st January of each year.

Hot-Line Support
ProGen offers a Support Desk facility on each of its products.
The Support Desk is manned by a person fully conversant with every aspect of running the software package.
The facility is optional and is called Hot-Line Support.
A school can nominate any number of staff to be on Hot-line Support.
The annual cost is R 480 / person nominated, with a standard 10% increase per annum.
The Hot-Line Support covers the 12 month period commencing on the 1st day of the anniversary month of the software installation at your school.
Hot-Line Support is available during term time:
Monday to Thursday
08h00 – 16h30
This support will also be available for the week prior to the start of the Academic Year and for the week after the close of the Academic Year.
The Hot-Line Support fee entitles the nominated user to make an unlimited number of support calls to the Hot-Line Support Desk. A call can either be telephonic, fax or e-Mail.
